POSITION SUMMARY:

Under the direction of the Executive Director, the Development Coordinator assists with a broad range of administrative, fundraising, outreach, special events, and development activities as deemed appropriate to further the objectives of the financial development of the organization. Manages and maintains the development & receipt of all donations and special event ticket sales including making deposits, invoicing donor accounts, ensuring proper recognition and correspondence, maintaining comprehensive donor files, preparing deposits, data entry, and record keeping.  

 

ESSENTIAL FUNCTIONS:

  1. Compose high-quality grant proposal narratives, applications, and supporting documents in a detail-oriented, organized, and deadline-driven manner.

  2. Coordinate with other departments to collect data and provide meaningful stewardship of funders and to comply with reporting requirements for funds received.

  3. Build relationships in the community.

  4. Manage donor database, including maintenance, gift entry, reporting, and data cleanup projects. 

  5. Process all donations accurately and on time. 

  6. Enter data and update Excel spreadsheets, prepare funds for deposit, and transmit to all other programs to ensure accurate donor records. 

  7. Create timely development reports. 

  8. Ability to use a computer to effectively perform job duties including word processing and research. 

  9. Computer proficient in Google Workspace with the ability to work within various databases.

  10. Versatility, flexibility, and a willingness to work enthusiastically within constantly changing priorities.

  11. Positive attitude and high energy toward change; it is essential to maintain clear, open, and honest

communication with the CEO, Board of Directors, staff, vendors, and donors.

  1. Understanding of the nature and purpose of the YMCA and the respective roles of volunteers and staff.

  2. Generate timely invoices to donors based on yearly pledges.

  3. Generate timely gift acknowledgment letters for the signature of Association officers.

  4. Lead special events and other development events/needs as assigned. 

  5. File copies of donor checks/cash and correspondence.

  6. Prepare donor solicitation letters and perform the mail merge process.

  7. Runs outstanding pledge reports, generates invoices, composes pledge reminder letters, and completes mailing process.

  8. Compile and manipulate data for the Annual Report.

  9. Verify payroll deduction on staff pledges.

  10. Research prospective donors.

  11. Follow up on fundraising discrepancies and requests concerning reporting, records, and unit donation history.

  12. Prepare campaign summaries, pledge payment summaries, donor lists, fundraising summaries across campaign years, status updates for individuals and campaigners, and other reports as requested.

  13. Attend required abuse risk management training. 

  14. Follow mandated abuse reporting requirements.

  15. Adhere to job-specific abuse risk management responsibilities. 

 

 

 

QUALIFICATIONS:

  1. Bachelor’s degree, or equivalent experience. 

  2. Must have demonstrated ability to provide excellent customer service to all constituents. 

  3. The ability to manage time and work on multiple projects is essential. 

  4. Solid oral and written skills with the ability to write reports, letters, and business correspondence.  

  5. Proficient with numbers, basic math, cash handling, and entry-level bookkeeping practices. 

  6. Must be detail-oriented with a strong work ethic and integrity.  

  7. Computer skills including Google Workspace, Google Sheets & mail merge are essential.

 

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit, talk, and hear.  The employee is occasionally required to stand, walk, bend, and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus.
